Life in demand-responsive transport

Flexible demand makes vehicle and driver planning a daily puzzle.

🌀

Bookings arrive from three channels at once — and still get coordinated by phone

Passengers book via app, phone, and dispatch centre. What's usually missing is one place where all three channels come together. Instead, dispatchers juggle ride requests manually, enter bookings into multiple systems, and lose track mid-day of which vehicle is where, how many seats are still free, and whether the next stop still fits the current run. The result: dead runs that could have been avoided with a central view, and passengers waiting longer than necessary because the nearest available vehicle is three minutes away — but nobody can see it at a glance.

🕐

Shift planning for DRT doesn't work like fixed-route scheduling

On a fixed route, the timetable is set weeks in advance. In demand-responsive operations, the day's booking volume determines whether two or five vehicles go out. That means shifts get assigned at short notice, drivers are informed via WhatsApp, and actual driving and rest times get logged retroactively at the end of the day — if at all. Under EU Regulation 561/2006, that's not a defensible position. A roadside check makes the missing records visible immediately. On top of that, without clean shift data it's hard to back up the monthly billing to the transport authority or client with solid documentation.

🪪

Licence and document deadlines slip through in daily operations

DRT operators with 10, 20 or 30 drivers often keep licence copies, passenger transport licences, medical records, and driver card deadlines in separate lists — or not centrally at all. When a document expires, dispatch doesn't notice straight away. The driver shows up in the morning, the vehicle is scheduled, and only at handover does anyone realise the passenger licence expired last week. The trip falls through, bookings have to be reshuffled, and the passenger waits. In the worst case, the driver goes out anyway — and if an incident occurs, the liability question lands with the operator.

Time Tracking

Driving and rest time tracked automatically — even when the plan changes daily

In demand-responsive operations, shift lengths change every day. Mileop tracks driving and rest time per driver live — whether a driver is out for two hours or eight. Thresholds under EU Regulation 561/2006 are built in. Mileop warns before a shift breaches the legal limit and produces a BAG-ready export in one click — without dispatch having to calculate anything manually at the end of the day. The full shift history stays intact even after last-minute changes and can be pulled at any time for billing or a regulatory audit.

  • Automatic driving/rest time tracking per driver and trip
  • Real-time warning before a legal threshold is breached
  • Audit-ready export for BAG checks
  • Full shift history even after last-minute changes

Licence & Document Control

Every deadline in one place — no driver starts with expired paperwork

Passenger transport licence, driver card, medical exam, training records — Mileop keeps every deadline per driver and vehicle in a central list. An automatic email reminder goes out 30 days before expiry. If a document actually expires, Mileop automatically blocks the driver from the roster — before dispatch would ever need to check manually. In day-to-day operations, that means dispatch never has to run through a document checklist before confirming a shift. Mileop handles the control and only flags when action is needed.

  • Central deadline list per driver and vehicle
  • Automatic email reminder 30 days before expiry
  • Automatic roster block when a document expires
  • Digital licence check per § 21a StVG

Booking & Fleet Overview

All bookings, all vehicles — one view instead of three systems

Mileop shows booking volume, vehicle utilisation and driver status in a single daily view. Dispatchers can see at a glance which vehicle still has capacity, where dead runs are forming, and how booking volume is spread across the day. No parallel spreadsheets, no cross-checking by phone. At the end of the day, utilisation per zone and vehicle can be exported — as the basis for client billing or as documentation for the transport authority.

  • Daily view: bookings, vehicles, driver status live
  • Utilisation per vehicle and zone
  • Early warning on forming dead runs
  • Export for transport authority and contract reporting
